1. Who is running this

The Apex Partnership (the “Promotion”) is run by:

“Pillar Sports”, “we”, “us” and “our” mean Pillar Sports Limited.

2. Free to apply

Applying is free and no purchase is necessary at any stage — not to apply, not to be selected, and not to receive the equipment. Buying from Pillar Sports will not improve any team’s chance of being selected and is not taken into account when we judge. Applicants cover their own internet or data charges.

3. Who can apply

You can apply if:

• you are a rugby club, team or rugby-playing organisation based in Hong Kong, or a Hong Kong national or representative rugby team — men’s, women’s, semi-professional, community, university or age-grade;
• you can accept delivery at a Hong Kong address; and
• The person applying is aged 18 or over, holds a role that entitles them to speak for the team (coach, committee member, president or chair, team manager, captain or equivalent), and has the team’s authority to apply and accept these terms on its behalf.

Teams that already work with Pillar Sports are eligible and are considered on the same basis as everyone else.

You cannot apply if:

• you are an individual applying in a personal capacity rather than on behalf of a team;
• your team is based outside Hong Kong;
• your team is under a current equipment sponsorship or exclusive supply agreement with another supplier and accepting the equipment would put it in breach of that agreement; or
• you are an employee, officer or director of Pillar Sports or of an agency working on this Promotion, or an immediate family or household member of one.

We may ask for reasonable proof of eligibility — for example confirmation of the team’s registration with a governing body, or of your role — and may disqualify an application if it isn’t provided within a reasonable period, or if information given turns out to be inaccurate.

4. When it opens and closes

All times are Hong Kong Time (HKT, UTC+8).

Applications open: 00:01 on Tuesday 1 September 2026

Applications close: 23:59 on Monday 14 September 2026

Applications received before it opens or after it closes will not be judged. The time recorded by our systems is final.

5. How to apply

Complete the application form at Apex Partnership Page in full and submit it within the application period.

One application per team is judged. We welcome applications from any person entitled to speak for a team (see Section 3). Where we receive more than one application on behalf of the same team, we assess that team once, on the basis of the first complete application received; later applications for the same team are not judged separately. We may retain later applications and contact the people who submitted them in connection with the Promotion and, where they have agreed, for marketing.

Incomplete applications, and applications with no answer to the story question, will not be judged. We only accept applications through the form — not by post, email, DM or comment. We are not responsible for applications lost, delayed or not received for reasons outside our reasonable control.

6. How we choose — this is not a random draw

The selected team is chosen on merit by Pillar Sports, in our sole and absolute discretion. There is no random draw, ballot, raffle or element of chance at any stage.

In reaching our decision we may take into account any factors we consider relevant. These may include the team’s story and the impact the equipment would have; the team’s need; the team’s level, size and stage of development; and whether we believe there is a basis for a productive long-term working relationship with Pillar Sports. These factors are illustrative only. We are not required to apply them in any particular way, to weight them, or to apply the same factors to every application.

Our decision is final. We are not obliged to give reasons for selecting or not selecting any team, and we will not enter into correspondence about individual decisions.

One team will be selected. If, in our discretion, we consider that no application should receive the Award, we may decide not to make an award and will publish notice to that effect.

7. What the selected team receives

The selected team receives the Apex Equipment Package as described at Apex Partnership Page (the “Award”), with a total value of HK$8,415. 

Values shown on the landing page and in our marketing are the recommended retail price (RRP) in Hong Kong Dollars as at 31 August 2026. RRP is stated for information only — it is not the price anyone would pay and may differ from the price the items sell at from time to time.

The Award is provided as product. It is not exchangeable for cash, credit or any alternative, in whole or in part, under any circumstances.

The Award is given to the team named in the successful application and may not be sold, transferred or assigned to anyone else.

8. Delivery — we pay

We deliver the Award to the Hong Kong address confirmed by the selected team. We do not deliver to PO boxes, forwarding services or any address outside Hong Kong.

Pillar Sports pays the cost of delivery, and pays any import duties, levies and local taxes payable on the Award. The selected team pays nothing to receive it.

We aim to deliver within 30 days of receiving the team’s written confirmation under Section 10(a) and its confirmed delivery address. Timescales are estimates, not guarantees, and we are not liable for delays caused by carriers or other matters outside our reasonable control. Risk in the Award passes to the team on delivery. If delivery fails because the team gave incorrect details or was unavailable, we may — after reasonable further attempts — treat the Award as declined.

9. Announcement, contact and the response deadline

We will contact the selected team directly using the email address and phone or WhatsApp number given in its application, and we will announce the selected team publicly on 30 September 2026 on our Instagram account (@pillarsports).

It is the applicant’s responsibility to give contact details that are correct and monitored.

The selected team must respond and confirm acceptance within 7 days of the date we first make contact. If we do not hear back within those 7 days — after at least two attempts to reach the team using the details given — that team will no longer be considered for the Award, and we may select another team from the remaining applications or make no award at all.

To accept, the team must confirm in writing that it accepts the Award and these terms, including the marketing participation in Section 10, give a full delivery address in Hong Kong, and name a contact for delivery and for the content session.

Every applicant will be told the outcome of its application by email, whether or not it is selected. Any applicant may ask us to confirm the selected team by writing to webmanager@pillarsports.com within three months of the announcement date.

10. Marketing participation — part of the Award

Participation in Pillar Sports marketing is part of the Award and a condition of receiving it. Please read this section before you apply.

9. a) Confirmation before delivery. Before the Award is delivered, we will send the selected team a written confirmation by email setting out the Award and the marketing participation described in this section. The team must confirm its acceptance by reply within the period stated in Section 9. The Award will not be delivered until that confirmation is received. If it is not received, Section 9 applies and the team will no longer be considered for the Award.
10. b) We produce the content. Pillar Sports will arrange and pay for videography and photography. The selected team agrees to make its players, coaches, facilities and the equipment available for one content session, of no more than half a day, at a mutually agreed time and Hong Kong location within 45 days of delivery.
11. c) The team posts. The team agrees to publish the content we produce on each of its own social media channels — at least one standalone post within 14 days of receiving it from us, tagging @pillarsports on Instagram — and to keep it published for at least 12 months. We will supply a content brief and brand assets.
12. d) Licence. The team grants Pillar Sports a perpetual, worldwide, irrevocable, royalty-free, non-exclusive, transferable and sub-licensable licence to use, reproduce, edit, publish and display the team’s name, crest and logo, the content produced under (b) and (c), and the content of its application — in any medium, for marketing, advertising and publicity, without further payment, notice or approval. We are under no obligation to use any of the content.
13. e) Consents. The team is responsible for obtaining the consent of every individual who appears in the content — including, where anyone is under 18, the consent of a parent or legal guardian — before the content session. The team confirms it has the right to grant the licence in (d) over its name, crest and logo. We will provide consent forms.
14. f) If the team does not take part. If the selected team does not make itself available for the content session or does not publish as agreed, we will allow a further 30 days after written notice. If the obligations remain unmet, the team will not be eligible for the Pillar Sports partner programme or partner pricing, and we may decline to make any further award or supply to that team. We will not ask for the equipment back.

11. Your application content

By applying you confirm that everything in your application is true and accurate, is your team’s own original content, and that you have the right to submit it. Applications must not contain anything unlawful, defamatory, obscene, discriminatory, misleading or infringing anyone’s rights — we may disqualify any that do.

We may quote from applications in our marketing. For teams that are not selected, we will not publish the team’s name alongside a quotation without asking first. We don’t claim ownership of application content; you grant us a non-exclusive licence to use it to judge, run and publicise the Promotion.

12. Your data

What we collect: the name, role, email address and telephone or WhatsApp number of the person applying, plus the team’s name, level, size, existing sponsorship position and the answers given in the form.

Why: to run and judge the Promotion, to contact you about your application and the outcome, to arrange delivery — and, where you have separately agreed, to send you information about Pillar Sports products and offers relevant to rugby teams.

Who handles it: application data is held and processed in our CRM and email systems, currently HubSpot and Brevo, which act as our data processors under contract. This may involve transferring data outside Hong Kong; we take reasonable steps to keep it protected to a comparable standard.

How long: for 24 months from the close of applications, or until you ask us to delete it, whichever is sooner — unless we need to keep it longer to meet a legal or accounting obligation.

Opting out: marketing messages are only sent where you have separately agreed to receive them by ticking the marketing consent box on the application form. You can opt out at any time using the unsubscribe link in any marketing email, or by writing to webmanager@pillarsports.com. Opting out will not affect your application or how it is judged.

Your rights: You can ask what personal data we hold about you, request a copy, and require correction of any inaccuracy. Write to webmanager@pillarsports.com.

We do not sell your data and we don’t share it with third parties for their own marketing.

13. Not affiliated with Meta

This Promotion is in no way sponsored, endorsed, administered by, or associated with Meta Platforms, Inc., Instagram, Facebook or WhatsApp. By applying, you release those companies from any liability in connection with the Promotion. Any questions, comments or complaints about the Promotion must be directed to Pillar Sports at webmanager@pillarsports.com and not to Meta, Instagram, Facebook or WhatsApp.

Applicants must also comply with the terms of use of any platform on which they encounter this Promotion.

14. Our rights

We may disqualify any applicant, and withdraw the Award, where we reasonably believe there has been fraud, dishonesty, material misrepresentation, a breach of these terms, or an attempt to manipulate the Promotion.

We may amend these terms where reasonably necessary — to correct an error, or to reflect a change in law or in circumstances outside our control. If we amend them during the application period we’ll publish the updated version here with a new version number and date and email applicants who have already applied; anyone who doesn’t accept a change may withdraw their application by writing to webmanager@pillarsports.com.

We may suspend, vary or cancel the Promotion where circumstances outside our reasonable control make it necessary, and will publish notice here explaining why. If a printing, clerical or technical error affects any part of the Promotion, including a stated value, we may correct it and will not be bound by an obvious error.

15. Liability

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded under Hong Kong law.

Subject to that, we are not liable for indirect or consequential loss; loss of profit, revenue, opportunity or goodwill; anything outside our reasonable control including failures of internet, platform or carrier services; or loss or damage arising from use of the Award other than in line with the manufacturer’s instructions and with appropriate supervision. Our total liability in connection with the Promotion is limited to the RRP of the Award. Nothing here affects your statutory rights.

16. General and governing law

If any provision of these terms is unenforceable, the rest continue in full force. A delay in enforcing a provision is not a waiver of it. These terms, together with our privacy policy, are the entire agreement between us in relation to the Promotion. A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Ordinance (Cap. 623) to enforce them, except that the Meta entities named in Section 13 may enforce that section.

These terms, and any dispute arising out of them or the Promotion, are governed by the laws of the Hong Kong Special Administrative Region, and the parties submit to the exclusive jurisdiction of the Hong Kong courts.
